Shop Flow Coordinator

Position Overview

The Shop Flow Coordinator is responsible for efficiently scheduling, coordinating, and prioritizing maintenance and repair work within our service shop location in Hope Mills, NC. Acting as the central point of contact, this role manages workflow for equipment from Leasing and Rental, Sales, and other internal departments. The coordinator ensures timely service delivery, maximizes equipment uptime, and optimizes overall shop capacity.


Key Responsibilities

Work Order Management

  • Receive, review, and accurately enter work orders into the service management system.

  • Ensure all maintenance and repair requests are properly documented and assigned.

Scheduling and Dispatching

  • Develop and maintain daily and weekly shop schedules.

  • Assign work to technicians based on skill set, availability, and work order priority.

  • Communicate schedules and updates to all relevant parties.

Prioritization

  • Evaluate work orders and determine priority levels in collaboration with the Service Manager and other stakeholders.

  • Ensure urgent needs, such as those for rental or critical sales equipment, are handled promptly.

Communication and Coordination

  • Serve as the main liaison among technicians, the parts department, sales, rental, purchasing, and customers (as needed).

  • Provide updates on job status, estimated completion times, and any delays.

Parts Coordination

  • Work closely with the parts department to ensure timely availability of required parts.

  • Track back-ordered parts and communicate any impact on scheduling.

Progress Monitoring

  • Track all active work orders, identifying and resolving bottlenecks that affect completion times.

Documentation and Reporting

  • Maintain accurate, up-to-date records of work orders, schedules, technician assignments, and repair statuses in the service management system.

Process Improvement

  • Evaluate shop workflows to identify opportunities for improving efficiency, reducing turnaround times, and optimizing resource utilization.

Customer Service

  • Provide excellent internal customer service through clear communication, effective coordination, and timely completion of service requests.

Safety Compliance

  • Ensure all work is scheduled and performed in compliance with safety standards and company policies.


Qualifications

Skills and Abilities

  • Strong organizational and time-management skills; able to prioritize in a fast-paced environment.

  • Excellent written and verbal communication skills.

  • Proficiency in service management software, iSeries, and Microsoft Office applications.

  • Strong problem-solving and decision-making abilities.

  • Basic understanding of mechanical principles and shop operations.

  • Ability to sit, stand, and walk for extended periods and occasionally lift up to 25 lbs.

  • Visual acuity to read computer screens and documents.

  • Ability to travel as needed.

Education and Experience

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.

  • Minimum of 2 years of experience with material handling equipment or in a related service environment.
