SUMMARY OF JOB FUNCTION
The Logistics Coordinator is responsible for working in a cohesive team environment to ensure all shipments (domestic & international) are shipped in compliance with customer requirements. The scope of this position includes but is not limited to, functions such as processing orders, arranging shipments/deliveries for domestic transactions, imports and or exports, preparing/issuing shipping documents (data entry/inputs), tracking shipments, handling internal/external queries or complaints from counterparties, providing customer service, monitoring payment status, supporting payment collection, solving problems with customers and suppliers.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Oversee supply chain operations and ensure efficient and cost-effective distribution of goods
- Interact with across departments and key players such as suppliers, customers, and third-party logistics service providers to plan, advise and co-ordinate transportation of materials, shipment costs and manage the timely flow of customer orders.
- Facilitate the shipping of products from one destination to another, both domestic & International/ incoming & outgoing.
- Receive shipments, ensure both quality and quantity & take immediate steps to avoid quality control issues
- Ensure that assigned tasks are completed safely, in strict compliance with ISO & QA requirements, and in a timely basis to meet shipping requirements.
- Understand Global Trade & Country Specific import and export rules
- Maintain accurate records of dispatch activities, including delivery schedules, transportation manifests, and customer information.
- Plan and optimize transportation routes and processes to maximize efficiency and minimize costs.
- Continuously identify opportunities for process improvement and implement solutions to enhance the effectiveness of logistical operations.
- Arrange booking of ocean vessels and drayage for export containers and update systems accordingly
- Evaluate and implement logistics technology solutions to enhance tracking, visibility, and overall efficiency
- Foster strong relationships with team members both overseas and domestically
- Work with customs brokers and logistics companies to handle importation, arrival notices, customs documents, and payments
- Coordinate with the finance team to handle all shipping, tariffs, and customs costs
- Prepare and deliver export documents such as Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, etc.
- Shipment status tracking and monitoring: continuously monitor the export shipment and report irregularities
- Collaborate with the Global Logistics team and provide support as needed
- Assist in coordinating truck, rail, and international shipments
- Collaborate with team members to gather and compile data for reports and presentations.
- Conduct quality checks to ensure documents meet established standards.
- Maintain confidentiality and security of sensitive information.
- Ensure consistency and quality of communications and presentations, publish organizational announcements to company intranet and develop communications to internal and external stakeholder groups as needed.
- Provide varied administrative support activities including, but not limited to, maintenance of files, forms and various project documentation, order supplies, ensure payment of vendor invoices, and provide backup support to other site disciplines, as needed.
- Maintain accurate and legible records that align with Colloids ISO requirements as well as Good Documentation Practices (GDP)
- Fulfill any other reasonable responsibility or duty as identified or requested by the Site Leader
- Maintain department Key Performance Indicator’s.
OTHER RESPONSIBILITIES
- Serves as the first contact for inquiries and oversees all aspects of the front desk.
- Maintain complete and open lines of communication with other personnel, functional groups, or departments to facilitate operations and interaction in the organization.
- Keep Site and Global Leadership Team informed of status and progress, by ensuring that regular and periodical communication takes place.
- Maintain professional conduct, attendance, and high ethical standards in the workplace, complying with company's policies and procedures.
- Fulfill mandatory training requirements applicable for department and job duties as appropriate.
- Documentation is accurate and concise.

Physical Demands
While performing the duties of this job, the employee is primarily in a controlled temperate environment however will be being exposed to heat/cold during support of outside activities. Work is generally active in nature, and will require standing, walking, grasping, lifting/moving up to 50 pounds. The ability to read printed materials and written information on a computer screen is required.
